Canadian Music Week is a huge festival! There is so much going on behind the scenes that we, here at Audio Blood are always looking for ways to ease the load. One of the bigger stressors of giant festivals is planning and organizing volunteers and staff, because lets be honest- it takes a lot of them, and we couldn’t do without them! We heard about this great scheduling app, When I Work and decided to try it. Here’s a bit on our experience with it!
This app let us create multiple locations for; shows, awards, the conference rooms and more with enough different positions to cover all the volunteer and staffing needs! After finalizing our scheduling needs we created all the shifts and let them sit in the “Open Shift” area and had our volunteers and staff sign on and add in their availability. Then it was just a matter of dragging shifts and dropping them in place. Easy Peasy! For our staff we often have multiple things going on at once, and When I Work let us enter all of the shifts with separate locations and times making it easier to see at a glance, where they need to be, when and for how long. If there were certain instructions like “Pick up supplies” for the street team, we were easily able to put them in the “Shift Notes” section, along with any other instructions.
The in app messaging system made communicating with volunteers a breeze, and we couldn’t be happier with the service. The whole thing made scheduling and organizing a lot less of a headache.
